Burke, Williams & Sorensen, LLP is seeking a full-time Document Support Specialist to join its Los Angeles office.  This position is a full-time, non-exempt, 8-hour/day position.  Our current arrangement for staff is to work 2 days on-site and 3 days from home weekly upon satisfactory completion of their introductory period. This arrangement may be changed at any time based on business needs and decisions.

Description

Essential responsibilities include, but are not limited to, the following:

  • Prepare, format, revise, and finalize a high volume of legal documents, including contracts, briefs, pleadings, reports, and other Firm work product, using Microsoft Office applications and document production tools (including CCC Macro Pro).
  • Convert, clean, and standardize documents received from outside sources or other software to ensure consistent formatting and usability.
  • Manage document revisions with precision, including track changes, version control, and accurate incorporation of edits.
  • Prepare and update Tables of Contents and Tables of Authorities, including complex pagination, styles, and automated formatting.
  • Create, edit, combine, and manipulate PDFs using Adobe Acrobat Pro, including production-ready document compilation and formatting.
  • Prepare and edit PowerPoint presentations and Excel spreadsheets, ensuring professional formatting and accuracy for internal and client-facing deliverables.
  • Ensure all documents comply with Firm standards, branding requirements, and applicable local, state, and federal court rules and filing requirements.
  • Transcribe and process digital dictation as requested, maintaining strict confidentiality and a high degree of accuracy.
  • Collaborate closely with attorneys, paralegals, and administrative staff to confirm requirements, clarify edits, and meet urgent deadlines with a strong client-service mindset.
  • Maintain organized electronic files and support the Firm’s document management and digital filing practices.
  • Provide formal and informal training to users on document formatting, templates, and best practices for document production.
  • Additional responsibilities as assigned.

 Qualifications

  • High school diploma required; Bachelor’s degree preferred. Also, additional education or certification in legal support or related fields is a plus.
  • 5-7 years of experience in legal document production or a similar department.
  • Strong proficiency with Microsoft Office Suite, Adobe Acrobat, as well as the ability to quickly learn new firm software, is required.
  • Experience with designing PowerPoints is a plus.
  • Experience using CCC Macro Pro is a plus.
  • Excellent organizational skills and exceptional attention to detail.
  • Excellent organizational skills with the ability to multitask and meet deadlines in a high-pressure environment.
  • Ability to work independently as well as collaboratively, demonstrating strong problem-solving skills.
  • Strong verbal and written communication skills, with the ability to convey information clearly and effectively.
  • Flexibility to work overtime and weekends, based on department needs, is required.
  • This role reports to the Firm’s Document Support Supervisor.

Compensation

The annual compensation range for this position is $90,000.00 to $105,000.00.  The salary offered within this range will depend upon qualifications and experience.
