Legal Secretary – Public Law
Feb 06, 2026Burke, Williams & Sorensen, LLP is seeking a full-time Legal Secretary to join either its Oakland or San Francisco offices. This position is a full-time, non-exempt, 7.5-hour/day position. Our current arrangement for staff is to work 2 days on-site and 3 days from home weekly upon satisfactory completion of their introductory period. This arrangement may be changed at any time based on business needs and decisions.
Description
Essential functions include, but are not limited to, the following:
- Support attorneys serving as City Attorney, Assistant City Attorney, or special counsel to cities and public agencies.
- Prepare, revise, and finalize municipal documents, including staff reports, ordinances, resolutions, agreements, memoranda, and correspondence.
- Assist with the preparation and distribution of city council, board, and commission agendas and packets.
- Maintain attorney calendars, including council and commission meetings, closed sessions, public hearings, deadlines, and client meetings.
- Track and communicate municipal deadlines, including agenda cutoffs and administrative filing requirements.
- Manage and organize public agency records and municipal files using the firm’s document management system, NetDocuments.
- Communicate professionally with city clerks, city managers, department leads, elected officials, and agency staff.
- Support compliance matters, including Brown Act, Public Records Act, and Political Reform Act/Public Ethic requests.
- Coordinate rate and billing information with Accounting.
- Provide limited litigation support related to public entity matters as needed.
- Prepare and file FPPC Form 700 forms for attorneys.
- Other duties and responsibilities as assigned.
Qualifications
- High school diploma required; Bachelor’s degree preferred.
- Minimum of 7-10 years of legal secretary experience, preferably supporting municipal or public law attorneys.
- Familiarity with California public law, including the Brown Act and Public Records Act.
- Working understanding of the structure, purpose, and function of municipal and other public entities.
- Proven track record of strong customer service skills.
- Clear and effective written and verbal skills.
- Excellent organizational skills with the ability to multitask and meet deadlines in a high-pressure environment.
- Ability to work independently as well as collaboratively, demonstrating strong problem-solving skills.
- Proficiency in Microsoft Office Suite and Adobe Acrobat is required.
- Knowledge of and experience with electronic document management systems, time-entry programs, and calendaring programs, including NetDocuments, Best Authority, CompuLaw/ProLaw; Aderant preferred.
Compensation
The annual compensation range for this position is $85,000.00 to $115,000.00. The salary offered within this range will depend upon qualifications and experience.
